    About the role

    Reporting to the National Commercial Manager you will be responsible for managing the upkeep of our Facilities nationally including involvement with regular maintenance, refurbishments, inspections and make-goods.

    You will provide leadership and operational management for properties, buildings and infrastructure assets, planning and implementation of cost effective and quality facility services.

    This encompasses the planning and implementation of cost-effective and quality facility services at all depots including maintenance, cleaning, security, waste removal, car parking, utilities management, and signage.

    Key Responsibilities

    • Management of facilities master planning, capital works projects, new buildings, facility leases, and refurbishment projects.
    • Senior-level interaction and negotiation with service providers, regulatory authorities, government bodies, and internal clients.
    • Developing policies and procedures to improve the performance of the Facilities Department.
    • Assist the National Commercial Manager with the preparation, development, and implementation of the company Facilities Master Plan in line with the organisation's strategic plan.
    • Provide strategic advice on current and emerging legislative and industry-wide facilities-related issues to enable the company to respond effectively to change and meet emerging requirements.
    • Prepare proposals for capital expenditure and minor works, using cost-benefit analysis techniques to enable timely decision-making by senior management and to ensure consistency with budget.
    • Develop annual budget submissions for the company's facilities requirements and exercise control measures as necessary to ensure works are completed on time and within budget.
    • Co-ordinate the preparation of all necessary documentation required to tender for the provision of facilities management services.
    • Conduct high-level negotiations with external providers of facilities management services to achieve prompt, reliable, cost-effective, quality services to the company.
    • Assist the National Commercial Manager with the negotiation of rental and lease contracts with external agents and vendors to ensure cost-effective, low-risk terms, which protect the company’s interests.
    • Oversee the engagement of contractors in accordance with company policy to undertake facilities-related works.
    • Undertake risk analysis and develop risk minimisation strategies appropriate to Northline’s  facilities' requirements.
    • Implement and monitor programs that ensure full compliance by the company with all relevant local regulations and State and Commonwealth legislative requirements.
    • Fully interpret and document all Property lease arrangements to then action all facilities maintenance requirements thus ensuring all buildings meet essential service maintenance requirements and all facilities are OH&S compliant.
    • Ensure that policy development and the implementation of procedures are consultative, and timely and promote a clear understanding of company processes.

    Skills and Experience

    • Strong analytical and problem-solving skills.
    • Ability to manage multiple projects and priorities simultaneously.
    • Understanding of logistics and supply chain management.
    • Strong attention to detail and accuracy.
    • High level interpersonal and communication skills, including the ability to establish strong links with key stakeholders as well as the ability to negotiate effectively and work through issues constructively.
    • Demonstrated experience in operationalising a large complex facility including transition in of all services, utilities and contracts.
    • Demonstrated ability to build relationships with key stakeholders to develop solutions and create opportunities.
    • Demonstrated high level interpersonal, written, and verbal communication skills with a strong focus on customer service skills, negotiation skills and high level to advanced conflict resolution.
    • Demonstrated extensive experience in delivering facilities management services utilising facility management software solutions.
    • Demonstrated commitment to customer needs, including demonstrated success in providing high quality customer focussed service.
    • Extensive high-level knowledge of facilities compliance requirements, hazard management and work health and safety legislation.
